Run and download reports

Run FundHero's five built-in reports, filter them by date, group or donation tag, and download the results as a CSV.

Updated

Open Reports in the main navigation to run one of five built-in reports on your donations, pledges, contact history, contacts or payouts, then download the results as a CSV you can open in Excel or Google Sheets.

The five built-in reports

Report What it lists
Donation Report Every donation, with the donor’s name and contact details, the date, the amount, the check, batch and deposit details for offline gifts, and the fee columns Total Charged, Fee Paid by Donor, Fee Paid by User and Total Transfer.
Pledge Report Every pledge, with its date, amount, and the contact’s details.
Contact History Report The interactions you’ve logged on contacts: date, type, result, note, and the contact’s details.
Contact Report All of your contacts and their details, including tags, groups, donor status and giving totals (All Time, This Year and Last Year).
Payout Report Online donations as Stripe processed them: donated date, arrival date, amount charged, amount transferred, payout status, and any refund.

If you’ve added custom fields, each one is added as an extra column.

Run a report

  1. Click Reports in the main navigation.
  2. Under Choose Report Type, pick a report.
  3. Optionally narrow it down:
    • Pick a date range in the calendar. The Contact Report has no date range.
    • Under Select Groups, pick a group or smart group. The Payout Report doesn’t have this filter.
    • Under Select Donation Tag, pick a tag or All Tags. This is available for the Donation Report and the Pledge Report. On the Basic plan this shows as Unlock Tags.
  4. Click Run Report.

The results appear below with a summary: Total Records, the Date Range you chose, and the amount total. Use the Search box to find a row, and the page controls at the bottom to move through the results (100 rows per page).

To start over with new filters, click Reset Report. This clears the results and every filter.

Download a report

Click Download above the results to save a CSV of the report using the filters you chose. In the file, the name is split into First name and Last name columns.

About the Payout Report

The Payout Report reads directly from your Stripe account, so it only works once Stripe is connected, and it only includes charges that succeeded. Its data starts on 12/1/19. Hover over the ? next to Arrival Date for a reminder that a pending payout’s arrival date is Stripe’s estimate.

The summary shows Total Charged and, below it, Transfered Total (the spelling shown in the app), which is the amount that goes to your bank account after fees. For how fees are worked out, and when money reaches your bank, see the Payments and payouts articles.

If you have a lot of donations the Payout Report can take a while to load. Choosing a date range speeds it up.

Reports for an event

On an event’s page, the Reports section has a Run Report button ("Sales Summary by Ticket Type", a full attendee list plus contact details). It opens Reports with that event’s donation tag already selected and runs the report for you. The results include Ticket Count, Ticket Type and Ticket Price columns.

Troubleshooting

  • "The report did not load. Please try again." Click Reset Report, then run it again.
  • "Missing Stripe Id" on the Payout Report means Stripe isn’t connected to this team. Contact support at mail@fundhero.io.
  • "No data to display for selected report" means nothing matched your filters. Widen the date range or clear the group and tag.

Want columns the built-in reports don’t have? On the Professional and Organization plans you can build your own. See Build a custom report.
