Groups

Create groups of contacts, add and remove members in bulk, and rename, merge or delete groups.

Updated

Groups are lists of contacts that you build by hand, such as "Board members" or "Gala 2026". Open them from the Contacts dropdown > Groups. Basic teams can have up to 3 groups.

Groups label contacts. Tags label donations and activity. Smart groups fill themselves in; see Built-in smart lists.

See your groups

  1. Open Contacts in the main navigation.
  2. Open the dropdown that says Contacts and choose Groups.

The list has a Group Name column and a Contacts column with the member count. Smart groups appear in the same list with a Smart badge. Search with the Search Groups box above the list.

Select View Group from a group’s row menu to see its contacts. A back arrow returns you to the list of groups. While you’re viewing a group, Add Contact creates a contact and adds them to that group.

Create a group

  1. In the Groups list, select Add Group.
  2. In New Group, enter a name under "Enter the new group name below:".
  3. Select Save.

Names must be unique, ignoring capitals, and can’t match a built-in smart group. FundHero shows "Group name … already exists" if they do.

On the Basic plan, once you have 3 groups the Add Group button shows a lock and opens an upgrade pop-up.

Add contacts to a group

In bulk:

  1. Open Contacts, tick the contacts you want. You can use search and Filters first, and "Select all N contacts that match" to include every result.
  2. In the bar that appears, open Add/Remove Groups and choose Add Groups.
  3. Under "Add N contacts to the selected groups", pick one or more groups in Search Groups.
  4. Select Save.

One contact: open the contact and select the people icon at the top of their detail page. In Search Groups, pick groups, or type a new name to create one on the spot. Select Save.

When importing: choose a group in the contact import. See Import contacts.

Remove contacts from a group

In bulk: tick the contacts, open Add/Remove Groups, choose Remove Groups, click the x on each group you want to remove them from, and select Save. If none of the selected contacts is in a group, the window says "There are no groups associated with the selected contacts."

One contact: select the x on a group pill under the contact’s name on their detail page.

Rename, merge and delete groups

  • Rename: in the Groups list, open the row menu for the group and choose Rename Group. Enter the new name under "Update the group name below:" and select Save.
  • Delete one: open the row menu and choose Delete Group, then confirm.
  • Merge or delete several: tick two or more groups. The bar shows Merge Groups and Delete Groups.
    • Merge Groups asks you for "a new group title", or lets you choose one of the selected groups’ names. It shows which groups "will be merged into" the title. Select Save. All members end up in the one group.
    • Delete Groups asks "Are you sure you want to delete N groups?" Select Confirm.

Deleting a group removes it from your team and from the contacts that were in it. The contacts themselves stay.

Smart groups can only be viewed. Their row menu offers View Group only.

Flagged contacts

The flag icon on each row is a quick way to mark contacts to come back to. Choose Flagged Contacts in the same dropdown to see them. To act on several at once, use the checkboxes and Add/Remove Groups.
