Built-in smart lists are groups that FundHero fills in for you from your contacts’ donations, pledges, actions and tasks. They update as your data changes. The dashboard calls them Smart Lists, and the Groups list marks them with a Smart badge.
Open a smart list
There are two ways:
- From the dashboard: the Smart Lists section shows a card for each list with a count. Select a card’s button to open the contacts. Select Load more smart groups to see all the cards.
- From Contacts: open the dropdown that says Contacts, choose Groups, and select View Group on the list’s row.
The contacts open in the normal contacts list, so you can search, tick contacts and use bulk actions. You can’t rename or delete a built-in list, and you can’t tick it in the Groups list.
When you open a list, it uses its default setting, shown under each heading below. Some lists have a time frame or variant behind them, but the app doesn’t currently show a picker for it.
Active Donors
Contacts who gave at least one donation in the last 90 days (default). To keep them engaged, send an update. The dashboard card button reads Reengage Donors.
Recurring Donors
Contacts with a recurring (monthly) gift in about the last month. The check uses the last 31 days. A gift counts if it came through a recurring donation or carries the Recurring tag. Recurring donations need the Professional or Organization plan; see Recurring donations.
Outstanding Pledges
Contacts with at least one pledge that hasn’t been fulfilled. A pledge leaves the list when you fulfill it or delete it. To fulfill a pledge, open the contact, find the pledge above the timeline and select Mark as fulfilled. See Record and fulfill a pledge.
Lapsed Donors
Contacts who have given at some point, but not in the last 90 days (default). Use it to re-engage past donors.
Potential Follow Ups
Contacts you tried to reach and haven’t heard back from. A contact appears when one of their logged actions has the result Needs Followup, Call Back or Left Message, and they haven’t given since. For the default 90-day list, the action was logged between 30 and 90 days ago, and they haven’t given in the last 90 days. See Log an action.
Contacts Need Thanks
Contacts with at least one donation that hasn’t been marked as thanked. Donations from your pages, ones you add by hand and ones you import all start as needing thanks, unless you tick "Mark all contributions as thanked" during an import.
To clear a contact, open them, find the donation and select Say thanks. It changes to Thanked. This doesn’t send anything to the donor. The dashboard button reads Say Thanks!.
Non-Donors
Contacts who have never given. In the Groups list this one is named Non Donors. Reach out to turn them into donors, or tidy the contacts who will never give.
Top Donors
Your highest-giving contacts for the period: All Time (default), Current Year or Last Year.
FundHero takes 20% of all the contacts on your team, rounded up, and lists that many contacts with the highest total giving in the period. Only contacts who gave more than $0 are included, so the list can be shorter than 20% of your contacts. For example, with 1,000 contacts of whom 50 have given, you would see those 50 at most.
Potential Duplicates
Contacts that look like the same person. The default test is By Name: two or more contacts with the same first and last name, ignoring capitals. Both names must be filled in. The other tests are:
- By Email: the same email address, ignoring capitals.
- By Phone: the same phone number once spaces and punctuation are removed. It looks at the mobile, home and work numbers, and needs at least 7 digits.
To combine a pair, tick the two contacts and use More Actions > Merge Contacts. See Merge duplicate contacts. If you open this list from the dashboard card and it doesn’t load, open it from Groups instead.
Outstanding Tasks
Contacts with at least one incomplete task. Open a contact and select Mark as completed on the task to clear it. See Create a task.
Flagged Contacts
Contacts you have flagged with the flag icon. Open it from the Contacts dropdown by choosing Flagged Contacts, or from the dashboard card.
