Import donations from a CSV

Upload past gifts from a spreadsheet and attach them to existing contacts.

Updated Professional & Organization plans

To import donations, open the gear menu and choose Imports > New Import > Contributions, then upload a CSV and match its columns. Donation import isn’t available on the Basic plan, and each row must match a contact you already have.

Before you start

  • Import your contacts first. Each donation is attached to an existing contact, matched on the name or organization in the row. Rows that match nobody are skipped. See Import contacts.
  • If you want to tag the donations, create the tag first (Contacts dropdown > Tags > Add Tag). The import page only offers the tag option when your team has at least one tag.
  • Save your spreadsheet as a CSV.

Import your donations

  1. Select the gear menu in the top bar, then Imports.
  2. Select New Import.
  3. Choose Contributions ("Bulk import contact specific contribution data"), then Next. On the Basic plan this opens an upgrade pop-up instead.
  4. Select "Download contributions CSV template here." Fill it in and save it as a CSV.
  5. Choose your file and select Next.
  6. Match your CSV’s columns to FundHero’s fields. A header that matches a field’s name exactly is filled in for you. The fields are Date, Amount, First Name, Last Name, Organization, Note, Batch Number, Check Number and Deposit Date. Date and Amount are required. FundHero tells you which one is missing.
  7. Optional: choose a tag. It is added to every donation in this import.
  8. Optional: tick "Mark all contributions as thanked" if you have already thanked these donors. If you leave it unticked, the donations are marked as needing thanks, so their contacts appear in the Contacts Need Thanks list. See Built-in smart lists.
  9. Select Import N Contributions.

Rows with a missing or unreadable date or amount are skipped. Rows that don’t match a contact are skipped with the reason "No contact or organization matched".

After the import

FundHero shows "Contribution import completed" with the number imported and the number that failed. Select Download Errors CSV to get the failed rows, fix them and import them again. Select Close when you’re done.

The Imports page lists the import on its Donations tab as "Donation import from CSV" with the number of donations added. Select Undo Import to remove the donations from that import.
